Paying For Copilot And Nobody’s Using It? Start Here

You bought the Microsoft 365 Copilot licences. Maybe six months ago. And if you’re honest, you’re not sure anyone on the team is doing much with them beyond the odd meeting summary.

You’re not alone in that. It’s the most common thing we see. Copilot sits there in the corner of Word and Outlook, everyone means to try it properly one day. The problem is that it’s like learning a new language and if no one shows you what to do with it and guides you through the prompting process, then everyone is just going to go back to doing things the old way.

We have curated a Microsoft Copilot video course to help you draft, analyse, and present with Microsoft 365 Copilot. It covers the actual day-to-day stuff: writing a document, cleaning up a spreadsheet, getting through your inbox and building a slide deck.

How to use Microsoft Copilot – video course

A quick four-minute overview of what the course covers and who it’s for. Worth watching first if you want to decide whether to commit the team’s time, or which episodes to prioritise.

Episode 1: Introduction to Microsoft 365 Copilot

An orientation to Copilot as a day-to-day work partner: drafting faster, summarising more accurately, and building presentations with less friction across Word, Outlook, Teams, Excel and PowerPoint. It also covers, at a high level, how Copilot actually works: grounding through Microsoft Graph, large language models and natural language processing, and how Microsoft’s responsible AI approach keeps the experience secure and trustworthy. Useful context for anyone who needs to answer governance questions internally. (23 minutes)

It covers when to use Work mode versus Web mode, how grounding and Microsoft Graph produce secure and relevant answers, and the practices that keep results accurate. Ends with a hands-on exercise using Copilot Chat to prepare for an interview. (1 hour 4 minutes)

Episode 6: Uncover New Data Insights With AI

Copilot in Excel, aimed squarely at people who aren’t Excel experts. Learn how to prepare your data properly, use plain-language prompts to sort, filter and highlight what matters, build formulas without memorising syntax, and generate PivotTables and charts that surface patterns and outliers. The goal: turning data overload into decisions you can defend. (38 minutes)

Episode 7: From Inbox to Impact: Improve Your Email Workflows With AI

Copilot in Outlook, for anyone whose inbox is the job. Covers drafting clearer emails faster, using coaching to adjust tone before you send, and summarising long threads in seconds. It also shows how to schedule meetings straight from an email conversation, build agendas, and automate follow-ups so commitments don’t slip. (26 minutes)

Benefits of Copilot for Small Businesses

Microsoft 365 Copilot helps small businesses by cutting the time staff spend on routine admin, such as writing, summarising, reporting and email, so a small team can handle a bigger workload without hiring. These are the benefits owners tend to notice first:

  • It gives you back time on email. Copilot in Outlook drafts replies, adjusts tone before you send, and summarises long threads in seconds. For anyone whose inbox is effectively their job, this is usually where the first hour a week comes back.
  • Reports and proposals stop eating whole afternoons. Copilot in Word turns rough notes into a first draft, restructures text into tables, and rewrites for a specific audience. You still review and edit, but you start from something rather than a blank page.
  • Your spreadsheets become useful without an Excel expert. Copilot in Excel sorts, filters, highlights trends, builds formulas and creates PivotTables from plain-English instructions. Small businesses that have data but nobody to analyse it gain the most here.
  • Client decks get built in minutes, not evenings. Copilot in PowerPoint turns an existing Word document into a structured, on-brand deck, then refines the wording and visuals on request.
  • Meetings actually produce follow-through. Copilot in Teams captures decisions and action items automatically and gives you a recap even if you joined late, so nothing depends on whoever remembered to take notes.
  • It works with your own business information. Because Copilot is grounded in your Microsoft 365 data through Microsoft Graph, it answers using your documents, emails and meetings, not generic web content, and only ever surfaces files the person asking already has access to.

Across a team of ten to twenty people, an hour saved per person per day adds up quickly, and it’s time going back into billable and customer-facing work rather than admin.
